Choosing a texting platform that plays well with RealGreen

What texting platform works with RealGreen? Our answer is a requirements list, not a brand name, because we can wire almost any SMS tool with an API into a RealGreen stack: the hard part is not the connection, it is whether the tool can use the customer record once it has it. For a RealGreen company, texting touches the customer record, the route schedule, compliance law, and your office's daily workflow: a tool that nails broadcast blasts but cannot see who canceled last week will eventually hurt you with your best customers. The good news is that the requirements are knowable in advance. Here is the list we use, the categories of tools that exist, and the questions that separate them on a demo call.
Why is texting different for a RealGreen shop?
A boutique sending a sale blast needs a list and a template. You are texting people mid-service-relationship: the message that goes out has to know whether the recipient is active or canceled, current or past-due, opted in or out, and ideally what happened on their lawn yesterday. Context failures are what get screenshotted: the upsell text to the customer with an open complaint, the promo to the account in collections. Texting without the customer record is how good companies sound careless, which is why the platform question is really a data question. The six requirements
- Customer-record context. The tool can see synced RealGreen status, program, and balance fields, and can suppress or branch on them.
- Opt-out sync, both directions. A STOP reply is honored everywhere (texting tool, RealGreen, email platform) within a day, automatically.
- 10DLC registration support. The platform registers your brand and campaigns with the carriers properly and tells you your throughput. If a vendor waves this off, end the call: the rules and the penalties are covered in our TCPA and 10DLC guide.
- A real two-way inbox. Customers reply to texts; someone must see and answer them with context, on a shared screen with assignment and history. Staffing that is its own playbook: running the two-way inbox.
- Automation triggers off synced data. Sequences that fire on events (sold, quoted, invoice aged, visit skipped), not just scheduled blasts.
- Deliverability visibility. Per-message delivery status and error codes, so carrier filtering shows up as a report instead of a mystery.
The categories of options
Generic SMS blasters
Simple, fast to start, fine at broadcast. They typically fail the context and trigger requirements outright: no RealGreen fields, no event-driven sequences. Acceptable for a company that only sends occasional service-area announcements; a liability the day you start automating against customer status.
CRM platforms with texting built in
HighLevel is the archetype: texting, email, and pipelines in one place, and with a RealGreen sync feeding it, the context and trigger requirements are met. The tradeoff is that you are adopting an entire CRM, with its learning curve and monthly cost, to get good texting. If you were leaning toward a CRM anyway, that is efficient; if not, it is a big appliance for one job.
Integrated service platforms
Purpose-built stacks where the RealGreen sync, the texting, the inbox, and the automations ship as one system: the texting inherits the data model instead of bolting onto it. The tradeoff is less pick-and-choose flexibility than assembling your own stack, which is a fair trade for most operators. Questions that separate vendors on a demo
- Show me a message suppressed because the customer is past-due. Where does that data come from, and how old is it?
- A customer replies STOP. Walk me through every system that learns about it, and when.
- Who registers our 10DLC brand and campaign, what throughput do we get, and what do violations cost?
- Show me the inbox: who answers, how threads get assigned, and what the CSR sees about the customer beside the message.
- What happens to running sequences when your RealGreen sync breaks for two days?
How should you think about pricing?
The pricing models differ more than the prices matter. Blasters typically charge a base plus per-message rates; CRM platforms price by account or seat with messaging on top; integrated platforms bundle texting into the larger relationship. Two line items surprise people regardless of tool: carrier surcharges pass through on every message, and 10DLC registration carries its own fees. Our honest advice after watching many of these decisions: make price the last filter, not the first. Against the revenue a texting program touches, the spread between tools is noise, while the spread between meeting and failing the six requirements above is not. Switching later also carries a cost no pricing page mentions: re-registering campaigns, porting or replacing your texting number, and re-teaching customers whose thread history lives in the old tool. Choose carefully once rather than twice.
What does choosing wrong cost?
Illustrative numbers, plug in your own: a 2,200-customer base sending 4,500 texts a month. A context-blind tool that misfires on even 2% of sends is 90 wrong messages a month landing on your most sensitive accounts, and opt-out rates climbing past the 1% line where list decay outruns list growth. Meanwhile unregistered or badly registered traffic gets carrier-filtered silently: you pay for sends that never arrive and read the silence as customers ignoring you. The platform fee difference between the wrong tool and the right one is small next to those numbers; one saved cancel and one avoided compliance incident covers the year.
The takeaway: the demo reel shows sending; your risk lives in context, consent, and replies. Buy the platform that can prove suppression, opt-out sync, and 10DLC registration on the call, and treat everything else as decoration.
Run the selection sprint
- Write the six requirements into a one-page scorecard before booking any demos.
- Demo three tools from different categories against the same five questions.
- Check references with two companies your size that run RealGreen specifically.
- Pilot with one automation, like the pre-visit reminder or the review ask, for 30 days before migrating broadcast.
- Put the opt-out audit on the calendar for day 31: prove a STOP propagated everywhere.
